The Older Adult Services provides community-based social supports for older adults creating a safe and supportive environment for older adults to age well in their homes and communities. The supports include in-home supports, meals on wheels, lawn maintenance & snow shoveling, Nav-CARE, volunteer drivers, community kitchen, information/referral/support, public information & awareness and assistance with government forms.

About The Role

Camrose & District FCSS is seeking a detail-oriented, organized, and community-minded individual to coordinate transportation services and provide administrative support for older adult programs. This fixed-term, part-time position is responsible for scheduling transportation, supporting volunteer drivers, maintaining records, and ensuring the efficient operation of office and program functions. The role requires strong organizational skills, excellent communication, and a commitment to supporting older adults, seniors and their families.

Start Date: Position will start as soon as an appropriate candidate is found.
Salary: Salary will vary depending on the candidate’s experience and qualifications.

Responsibilities

The Transportation Coordinator & Administrative Support assists the Program Director and other Older Adult Services staff with the overall delivery of transportation and office support programs for older adults, including:

TRANSPORTATION COORDINATION:

  • Coordinate and schedule transportation services for clients, including rides to medical appointments, social and recreational programs, and other essential services.
  • Receive and process transportation requests promptly and professionally.
  • Maintain transportation schedules and communicate effectively with volunteer or contracted drivers.
  • Match transportation requests with available drivers and monitor service delivery.
  • Track service statistics and maintain accurate records; prepare reports as required.
  • Support recruitment, orientation, and communication with volunteer drivers.
  • Address transportation concerns or scheduling issues and resolve problems efficiently.
  • Ensure transportation services comply with organizational policies, procedures, and safety standards.
  • Assist with transportation of clients, when required. 

ADMINISTRATIVE SUPPORT:

  • Assist with data entry, file management, and document preparation.
  • Maintain client confidentiality and ensure secure records management.
  • Support grant reporting, statistics collection, and program documentation.
  • Provide administrative assistance for events, meetings, and community initiatives.
  • Assist with tracking all the required documentation for the company vehicles (registration, vehicle maintenance & repairs, mileage records, etc. 
  • Provide financial administration for Transportation program (payments, receipts, donations, etc.) 
  • Assist with quarterly client check in calls

Qualifications

  • Diploma or certificate in Office Administration, Human Services, Business Administration, or related field, or equivalent experience.
  • Experience in scheduling, coordination, administration, or customer service preferred.
  • Proficiency in Google Workspace, Microsoft Office (Word, Excel, Outlook), and database systems.
  • Experience working with volunteers, older adults, seniors, or community service programs is an asset.
  • Valid Class 5 Driver’s License and clean driver’s abstract.
  • Police Information Check including a Vulnerable Sector Check - dated within 6 months of commencement date and updated every 3 years or sooner upon request.

Working Conditions

  • Part-time, fixed-term, 21 hours per week 
  • Primarily office & community outreach or event support.
  • Flexibility required to accommodate transportation scheduling needs.
